Student Meetings

There are two ways to schedule meetings for students.

(1) When student meetings are scheduled using Student Meetings, an agenda is created for the meeting. Accessing the student meeting from the calendar (see below) will provide access to the agenda, and it will open up the individual case for the first student (in alphabetical order).

(2) Follow up meetings can be scheduled on the individual student case

To create Student Meetings...Click on Tools>Student Meetings and then follow steps below

To Schedule a Follow Up Meeting, Click on "Schedule" in the Individual Case - follow steps below

1. Click on New Meeting and choose the day the meeting will be scheduled

2. Fill in the meeting scheduler

3. You must enter the student's name for it to populate on the agenda and on the Case Management Dashboard

4. Click Submit

5. Meetings will populate on the calendar with the time scheduled, the meeting topic, and the number of students scheduled.

  • Yellow = preliminary; Blue = confirmed.

Once the meeting is "confirmed," an email will be sent to all staff members invited to the meeting.

Meetings can be modified. Reasons to modify a meeting may include...

  • Adding / Deleting students or staff
  • Changing meeting status (preliminary/confirmed)
  • Changing a meeting location or time

To modify a student meeting...

1. Click on the meeting

2. Choose "Manage Meeting"

3. Make changes to meeting as needed

4. Click Submit

View and conduct a meeting either by going to Tools>Student Meetings OR to the Case Management Dashboard

Tools>Student Meetings

1. Click on the meeting

2. Choose "Go To Meeting Agenda"

3. Students will appear in alphabetical order in the box at the top. Click on the arrows to scroll to another student name

4. Click the meeting icon to access the meeting note template to take notes.

Follow these steps to successfully save meeting notes:

  • Enter the date. Meeting notes can be lost without a date to attach to.
  • One person takes notes for a student at a time. ion meeting notes do not function like a Google document.
  • Meeting notes cannot be submitted until "auto save" is turned off.
    • Leave auto save on while taking notes.
    • Turn off when complete to submit.

Case Management Dashboard

To conduct a meeting directly from the Case Management Dashboard

  1. Click the Case Management Button
  2. Select the student and click on the hyperlinked student name
  3. Click "Meeting"
  4. Conduct Meeting.
